This privacy policy describes CognaLearn’s data practices as a controller of personal information. Please note that this privacy policy does not apply to the extent that we process personal information in the role of a processor or service provider on behalf of our customers, as further specified in the Data Processing Agreement entered into with those customers. When CognaLearn processes personal information on behalf of our customers, the customer is the controller of the personal information processed and manages those accounts and any Service sites. In such cases, CognaLearn acts as a processor or service provider on behalf of our customer and handles your information according to the instructions of that organisation. We are not responsible for the privacy or security practices of our customers, which may differ from those described in this privacy policy. For more information about how a CognaLearn customer uses your personal information, or to exercise the rights you may have with respect to that information, please contact that organisation directly.

Terms which are not defined in this Privacy Policy are defined in the Terms of Use, which is accessible here: https://www.intedashboard.com/terms-of-use. If there is any conflict or inconsistency between the terms of the Privacy Policy and the Terms of Use, the Privacy Policy will prevail.

Information we collect

CognaLearn collects the following data:

  • Personal identification information (name, email address, etc.)
  • Content you provide through our products: The Services include the CognaLearn products you use, where we collect and store content that you post, send, receive and share. We process this content in the role of a processor or service provider on behalf of our customers; this privacy policy does not apply to that processing (see above for more information). 
  • Content you provide through our websites: The Services also include websites owned or operated by us. We collect content that you submit to these websites, which include social media or social networking websites operated by us, our support and documentation websites, and our Community Forums. For example, you provide content to us when you provide feedback, directly to us through our Services or otherwise, or when you participate in any interactive features, surveys, contests, promotions, activities or events.
  • Information you provide through our support channels:  The Services also include customer support, where you may submit inquiries or other information regarding a problem you are experiencing with a Service. Whether you open a support ticket, speak to one of the representatives directly or otherwise engage with our support team or support features, you will be asked to provide contact information, a summary or description of the problem you are experiencing, and any other documentation, screenshots or information that would be helpful in resolving the issue.
  • Payment information: We collect payment and billing information when you register for certain paid Services. For example, the name and contact information of a billing representative, billing address, etc. You might also provide payment information, such as payment card details (e.g. the last four digits of the credit card, name of cardholder, type of credit card etc.), which we collect via secure payment processing services.
  • Device and connection information: We collect information about your computer, phone, tablet or other devices you use to access the Services such as your operating system, browser type, IP address, URLs of referring/exit pages, and the date and time of each visitor and user request. How much of this information we collect depends on the type and settings of the device you use to access the Services.

How we collect information

You directly provide CognaLearn with most of the data we collect. We collect data and process data when you:

  • Register online or place an order for any Services
  • Use our Services
  • Interact with our staff
  • Request to be included in an email or other mailing list
  • Respond to our promotions, initiatives, etc.
  • Voluntarily complete a customer survey or provide feedback on any of our message boards or via email
  • Use or view our website via your browser’s cookies

CognaLearn may also receive your data indirectly from the following sources:

  • Other users of the Services: We receive your email address from other Service users when they provide it to invite you to the Services. Similarly, an administrator may provide your contact information when they designate you as the billing contact on your company’s account or when they designate you as an administrator.
  • Third party providers: We may receive information about you from third party providers of business and security information and from publicly available sources, including physical mail addresses, job titles, email addresses, phone numbers, intent data (or user behaviour data) and IP addresses.

How we use information

CognaLearn collects your data so that we can:

  • Process your order and manage your account
  • Provide you with the Services
  • Provide customer support
  • Communicate with you about the Services
  • Respond to your queries, requests and feedback
  • Send you updates and information which you may have requested or which we think may be of interest to you
  • Email you with special offers on other Services we think you might like
  • Request feedback or participation in surveys, as well as conducting market and other research and/or analysis for statistical, for us to design our Services, understand customer behaviour, preferences and market trends, and to review, develop and improve our Services

  • Aggregate or de-identify data: We may aggregate or de-identify your information collected through the Services so it can no longer be re-identified by us or another party. We may use and disclose aggregated or de-identified data for several purposes, including to develop and improve our Services and to conduct marketing and promotional activities. To the extent we aggregate any data originally based on personal information, we maintain and use such data in de-identified form and will not attempt to re-identify the data.

How we disclose information

Subject to the provisions of any applicable law, your personal data may be disclosed, for the purposes listed above (where applicable) to the following entities or parties, whether they are located outside or inside of Singapore:

  • Amongst ourselves
  • Our agents, contractors, sub-contractors or third party service providers who provide operational services to us, such as courier services, telecommunications, information technology, payment, printing, billing, debt recovery, processing, technical services, transportation, training, market research, call centre, security
  • Vendors or third party service providers and our marketing and business partners in connection with marketing promotions, products and services

  • Relevant government ministries, regulators, statutory boards or authorities or law enforcement agencies

Community Forums: You should be aware that any information you provide on these websites – including profile information associated with the account you use to post the information – may be read, collected, and used by any member of the public who accesses these websites. Your posts and certain profile information may remain even after you terminate your account. We urge you to consider the sensitivity of any information you input into these Services. To request removal of your information from publicly accessible websites operated by us, please contact us as provided below. In some cases, we may not be able to remove your information, in which case we will let you know if we are unable to and why.

How we store and secure information

We use industry standard technical and organisational measures to secure the information we store from being accidentally lost, used or access in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors, and other third parties who have a business need to know.

International transfers. We collect information globally and may transfer, process, and store your information outside of your country of residence, to wherever we or our third party service providers operate for the purpose of providing you the Services. Whenever we transfer your information, we take steps to protect it.

How long we keep information

How long we keep information we collect about you depends on the type of information, the purposes for which it was collected, applicable legal or regulatory requirements, and user expectations and preferences. After such time, we will either delete or de-identify your information or, if this is not possible (for example, because the information has been stored in backup archives), then we will securely store your information and isolate it from any further use until deletion is possible.

CognaLearn would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access – You have the right to request CognaLearn for copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification – You have the right to request that CognaLearn correct any information you believe is inaccurate. You also have the right to request CognaLearn to complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that CognaLearn erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that CognaLearn restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to CognaLearn’s processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that CognaLearn transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Marketing

CognaLearn may send you information about our Services, events, or offers that we think you might find useful. We will only do so where permitted by law, either based on your consent or our legitimate interests.

You may also opt out by contacting us as set out below. Once we receive your request, we will remove you from our marketing lists within a reasonable timeframe (no later than 30 days).

Our Services include certain social media features, such as the “Share” button (“Social Media Features”).
